Bringing UK and US teams together through a branded, cinematic company summit experience
Fox Agency partnered with We Are MEaT to design and deliver its 2024 Summer Summit in Leeds, bringing together 65 people from across its UK and US teams.
Built around a Film Festival theme, the event combined a branded morning conference, keynote speaker, awards presentation, customised team-building activity, overnight stay and VIP-style evening reception.
The result was a high-energy internal summit that celebrated company culture, connected international teams and created a memorable shared experience around Fox Agency’s brand, people and future direction.
The challenge
Fox Agency wanted to bring its UK and US teams together for a summer summit that felt purposeful, creative and memorable.
The event needed to do more than gather people in a room. It had to communicate business achievements, share future goals, celebrate team success and create meaningful connection across the wider agency.
With the Fox head office based in Leeds, the location was clear. The challenge was to design a full-day experience that moved guests through different environments while keeping the Film Festival theme consistent across every touchpoint.
The experience needed to:
- Bring 65 UK and US team members together in Leeds
- Deliver a morning conference with leadership updates and awards
- Source and manage multiple venues across the day
- Create a strong branded Film Festival theme
- Include an inspirational keynote speaker
- Build in a fun, competitive team activity
- End with a memorable VIP-style evening reception
- Manage the guest journey, suppliers and event delivery from start to finish
The plan
We Are MEaT worked alongside Fox Agency’s in-house marketing and HR teams to shape a full-day summit programme with three distinct phases: a cinematic morning conference, an afternoon team-building activity and a branded evening celebration.
The Film Festival concept gave the event a strong creative platform. Fox Agency’s creative team produced the visual identity, while We Are MEaT brought the theme to life through venue selection, supplier coordination, brand activations and event delivery.
The programme was built around three Leeds venues. The morning conference took place in a private-hire cinema setting. The afternoon team activity was hosted at the hotel where many delegates were staying. The day then concluded at a rooftop bar, creating a VIP-style finale reception.
The plan focused on four key objectives:
- Create a cohesive branded summit experience
- Give leadership a strong platform to share business updates
- Build energy and connection through team activity
- End the day with a celebratory evening reception that felt premium and memorable
The experience
The day began at Everyman Cinema, where guests were welcomed with teas, coffees and pastries in a private lobby space. This immediately set the tone for the Film Festival theme, creating an arrival experience that felt relaxed, branded and different from a standard conference environment.
Guests then moved into Screen 3, which had been privately hired for the morning conference. Across the session, Fox Agency’s leadership team shared key business achievements and future goals for teams across the UK and US.
The morning also included an awards presentation, giving the business an opportunity to recognise success and celebrate its people in front of the wider team.
The conference then moved into an inspirational keynote from Nicolas Hamilton, who spoke about breaking barriers and overcoming adversity. This gave the morning a powerful human moment, connecting the summit’s business content with a broader message of resilience, ambition and possibility.
After a buffet lunch, guests headed back to the Crowne Plaza, where most non-Leeds delegates were staying. The afternoon was dedicated to Fox Games, a customised team-building activity created in partnership with GOTO Events and based on its Quid Games format.
The activity was fully branded and adapted for Fox Agency, keeping the Film Festival theme alive while introducing energy, competition and humour. The format gave teams a chance to collaborate, compete and connect in a way that felt informal but highly engaging.
After the games, guests had time to check in, freshen up and prepare for the evening.
The final part of the day took place at Angelica rooftop bar, where a VIP-style reception was ready and waiting. The evening featured branded props, branded cocktails, a branded menu, DJ, saxophonist and branded photobooth.
This created a celebratory close to the summit, giving guests space to relax, socialise and continue building relationships after a full day of content and activity.
Why this worked
This event worked because every stage of the day had a clear role.
The cinema setting made the morning conference feel distinctive and aligned with the Film Festival theme. The leadership presentations and awards gave the summit business relevance and internal value. Nicolas Hamilton’s keynote added inspiration and emotional impact.
The afternoon team activity shifted the energy from listening to participation, helping UK and US colleagues interact in a more informal, competitive and memorable way.
The rooftop reception then gave the day a strong closing moment. By combining branded details, entertainment and a premium social setting, the evening felt like a celebration rather than a standard post-conference drinks reception.
The strongest element was the continuity of the theme. From the cinema venue and branded assets to the customised activity and VIP reception, the Film Festival concept gave the event a clear identity and helped the experience feel cohesive from start to finish.
