Procore Executive Track Experience: A VIP Client Event at Silverstone

Creating a high-impact client hospitality experience with pace, precision and executive-level engagement

Procore Technologies partnered with We Are MEaT to deliver an exclusive VIP track experience for senior construction industry guests and Procore delegates.

Hosted at the world-renowned Silverstone Circuit, with an evening programme at nearby Horwood House, the event was designed to be far more than a standard race day. It combined high-performance driving, premium hospitality, business content, keynote talent, branded gifting and private dining into one carefully managed client experience.

The result was a distinctive, high-energy event that gave Procore a memorable platform for client engagement, relationship-building and business conversation in an environment that felt exclusive, exciting and expertly delivered.

The challenge

Procore wanted to create a VIP client event that would stand out from a typical corporate hospitality format.

The audience included 25 VIP attendees from the construction industry, alongside senior Procore delegates. The brief required an experience that felt premium, memorable and commercially valuable, while still allowing time for meaningful business updates and client conversations.

With a three-month lead time, We Are MEaT needed to source, contract and manage the right venues, coordinate the guest journey, build a high-impact track experience and deliver a polished evening programme.

The experience needed to:

  • Create an exclusive environment for senior clients and stakeholders
  • Deliver something more memorable than standard race-day hospitality
  • Combine excitement, business content and premium guest experience
  • Manage complex logistics across Silverstone and Horwood House
  • Integrate high-profile speakers and branded moments
  • Give Procore meaningful time with clients in an engaging setting

The plan

We Are MEaT designed a full-day and evening VIP programme built around three connected phases: arrival and guest management, the Silverstone track experience, and an exclusive private evening at Horwood House.

The plan centred on Silverstone Circuit as the hero moment of the day. Private circuit hire, pit lane access, branded race helmets, high-performance cars and a guest appearance from Ben Collins created an immediate sense of theatre and exclusivity.

To ensure the experience also supported Procore’s commercial objectives, the afternoon included a presentation workshop in the President’s Suite, giving Procore dedicated time to share key business updates with clients.

The evening then shifted the pace into private hospitality, with exclusive use of the Library Bar and Manor Suite at Horwood House, welcome drinks, a fireside chat with Formula One strategy expert Bernadette Collins, a three-course dinner and networking drinks to close.

The plan focused on four key objectives:

  • Build a memorable VIP client experience around Silverstone
  • Create a smooth guest journey from arrival to accommodation
  • Balance adrenaline-led activity with focused business content
  • Use premium speakers, gifting and hospitality to elevate the brand experience

The experience

The day began at Horwood House in Buckinghamshire, where guests arrived to teas, coffees and a smooth pre-registration process. This allowed the team to manage check-in efficiently before guests transferred to Silverstone for the main track experience.

On arrival at Silverstone, guests were brought in via the perimeter road, giving them a full view across the circuit before arriving at the garages by the pit lane. From the beginning, the experience was designed to feel immersive and exclusive.

Guests were welcomed by the event team before completing their safety briefing. They then moved into the garage and pit lane, where fully branded race helmets and high-performance cars were ready for the driving experience.

The first major surprise was the appearance of Ben Collins, known as the original Stig from Top Gear. Ben met the group before setting a hot lap in a BMW, giving guests a preview of what was to come.

Over the next few hours, guests took to the track with professional instructors in high-performance BMW and Ferrari vehicles. Lunch followed, where Ben Collins joined the group for an informal Q&A session, giving guests direct access to a high-profile motorsport personality in a relaxed setting.

The track experience then continued with a McLaren, alongside individual laps with Ben Collins for each guest — creating a standout personal moment within the wider event.

Later in the afternoon, guests moved upstairs into the President’s Suite for a two-hour presentation workshop. This gave Procore the opportunity to discuss key business updates directly with clients in a focused but energised environment. Branded gifting was placed for each guest, reinforcing the premium and considered nature of the experience.

Following the workshop, guests transferred back to Horwood House, where they checked into their rooms and had time to relax before the evening programme began.

The evening opened in the Library Bar and Manor Suite, hired exclusively for Procore. Welcome drinks were followed by an introduction to the evening’s guest speaker,

Bernadette Collins, Formula One strategy analyst for Sky Sports and F1TV and former F1 strategy engineer for the Aston Martin F1 team.

Bernadette hosted an engaging fireside chat, sharing insights from her career and the world of Formula One strategy. The evening continued with a private three-course dinner, followed by networking drinks to close the event.

This experience worked because it went beyond conventional client hospitality.

The Silverstone setting created immediate impact, but the programme was carefully structured to deliver more than adrenaline. Guests experienced the thrill of the track, direct interaction with high-profile motorsport talent, a focused Procore business session and an exclusive evening hospitality programme.

That balance is what made the event commercially strong. The driving experience created excitement and shared memory. The workshop created space for business updates and client dialogue. The private dinner and evening speaker created a premium environment for deeper relationship-building.
